Vacation Planning 2025

To ensure effective vacation planning in line with Swiss labor law (OR and ArG), teams are requested to discuss their vacation schedules. All vacation days for 2025 should be recorded in the designated time management system.

Key Guidelines for Vacation Planning:

  • Annual vacation entitlement should be used within the calendar year. According to Article 329c OR, employees are entitled to at least [please add vacation entitlement according to personnel regulations/contract]. These vacation days should generally be taken within the same calendar year unless exceptional operational or personal reasons apply.

  • Unused vacation from the previous year should be taken by [please add date according to regulations]. After this deadline, the employer has the right to schedule any remaining vacation days in alignment with operational needs.

  • Employees should take at least two consecutive weeks of vacation. Article 329c OR stipulates that employees must have at least two uninterrupted weeks of vacation to ensure adequate rest and recovery.

  • Vacation planning applies to all employees, and managers are responsible for oversight. Early and structured planning helps maintain smooth operations while ensuring compliance with vacation regulations.

  • Additional Vacation balance (if applicable: purchasing extra vacation days): Employees with additional vacation options should use their extra entitlement within the same year. The same usage rules apply as for regular vacation days.

Vacation During Illness or Accident:

  • Planned vacation is considered taken unless a medical certificate explicitly states the employee is unfit for vacation.

  • In cases of illness or accident, vacation inability must be clearly documented with a medical certificate.

  • Work incapacity does not automatically imply vacation inability.

Overtime:

Efforts should be made to avoid the accumulation of overtime. If overtime is necessary, its reduction should be planned in advance. All overtime must be approved by the relevant supervisor. Please ensure legal compliance regarding overtime (Überstunden) and overhours (Überzeit), as well as rest periods.

As part of the duty of care (Article 328 OR), the employer is obligated to respect and protect the employee’s personality, including health and safety.

Thank you for your cooperation in ensuring smooth and compliant vacation planning!

[Please adjust these guidelines according to your company's internal regulations.]
